Office Manager - Rotterdam

We are looking for an Office Manager (Dutch speaker) to join our dynamic and international team in Rotterdam. 

As an office manager at VSTEP Simulation you’ll play a key role in keeping our office and training centre running smoothly while being part of the innovative maritime technology sector. As part of our HOII team (HR, Office, ICT & ISO), you’ll be the face of our office, making colleagues and guests feel welcome.

In this role, you'll have the opportunity to oversee various aspects of our office and training centre, and support different departments whenever needed. One of your main responsibilities will be to help create and maintain a positive and enjoyable work environment for our colleagues. By having an eye for improvements, maintenance, and ability to create a good atmosphere, you’ll play a big role in how everyone uses and experiences their workplace.

You will also take the lead in managing our training center. This space is used by both colleagues and external guests for trainings and simulator tests. You’ll be in charge of the planning, coordination, and preparation, making sure everything is well organized and runs smoothly.

All in all you will be making sure that colleagues an guests feel welcome in our facility.

As the Office Manager at VSTEP, your responsibilities include:

• Ensuring smooth day-to-day office operations and maintaining a well-organized workplace
• Handling incoming communication (emails, phone calls) prompt and professionally
• Implementing and improving office policies and procedures
• Event management for our company outings
• Administration related to the office and the training centre
• Managing and preparing the bookings for internal and external users of our training simulators
• Make sure we are stocked on office supplies, lunch items (for guests and employees) and other relevant items
• Be the face of the office and make people feel welcome

You are:

• Fluent in Dutch and English (hard requirement)
• Detail oriented
• Flexible and able to coop with unexpected changes or situations
• Enthusiastic about hospitality and enjoys creating a space that feels welcoming to everyone using it
• Great with planning
• Capable of coordinating your work independently while working closely with a team
• Located nearby our office in Rotterdam, as this is an on-site position

You have:

• Excellent communication skills in both Dutch and English
• Relevant experience in a similar role or similar type of job
• A valid Dutch work permit.
• A positive mindset, can-do attitude and do not shy away from problem solving.
